Tips For Saving On An Office Copy Machine

By sizes paper, 16 January, 2010, No Comment

The total cost of an office copy machine depends on the features you choose, the billing program used, and the materials the machine requires.  Some businesses purchase just a machine, and then pay for service and supplies costs separately.  Most vendors offer Cost-per-copy, or CPC programs, the compute all costs as one monthly bill.  Purchasing equipment separately might yield a better deal on a used or recycled machine. Equipment CostsCopier machines can range in cost from under a thousand dollars to tens of thousands or more for a higher quality machine.  A good way to save money on a printer copier is to buy a used machine or one with recycled components.  Make sure you have a maintenance plan in place if you don’t have a warranty on the machine.  Purchasing a used copier machine is like buying a used car- you can always try to negotiate to get a better deal.  You should also see if the used machine can be upgraded to incorporate more memory or to add features (adding trays, etc.) if necessary. Consumables and SuppliesSupplies such as paper, ink, and toner should be included in the cost of owning a machine.  These materials can be purchased from the copy machine vendor, or from a separate source, such as Staples or Office Depot.  There are several different online retailers that offer delivery options and automatic shipment plans, so you can plan your costs in advance.  Most traditional copier supplies are made of harsh chemicals and can require special disposal procedures, such as arranging for pickup or sending used components back to the manufacturing company for disposal.  “Green” materials are easy to find if you want a more ecologically friendly option, and they are usually cheaper.  Using an all in one printer scanner also cuts supply costs, because you can store documents electronically and print less often. Maintenance and Service CostsWhen you purchase a new machine, you might be eligible for a warranty or included service contract.  If you lease a machine, most vendors will require that you sign a maintenance or service agreement.  Though you can purchase a warranty for a used machine if the factory warranty has expired, it’s a good idea to figure out how much the warranty will add to the cost in the long run.  Often paying for maintenance out of pocket can be cheaper, especially in the cases of used machines.  Maintenance contracts can offer the use of a “loaner” machine in the event of repairs, and specify time guarantees for when a broken machine will be fixed. It’s important to consider all potential costs when making an investment in any office machine.  Copier machine vendors will usually try to “sell” you to the most expensive option.  By comparing quotes for equipment, supplies, and services from different sources, you’ll be able to get the best deal.

The Advantages of Using a Colour Laser Printer

By sizes paper, 16 January, 2010, No Comment

One of the problems that people face is not just deciding on which brand of printer to buy, but also what type of printer. Laser printers have existed for so long, but their price never fell underneath the tempting budget models of BubbleJet printers and other attractively priced units. Many people often believe that these laser printers are best for office use since they print faster, while home users would rather pay less and be patient instead. However there are various other advantages of colour laser printers over the other types available.Less Frequent Ink Replacements
Ink replacements can not only add costs to a cheap printer, but they can also cause more inconvenience when a replacement ink cartridge is required, but not always readily available. While the installation of toners in laser printers is slightly more complex depending on the model, you will find these won’t need replacing as often.Bigger Savings in the Long Run
Buying that inexpensive coloured printer can undoubtedly save you money compared to getting a good laser printer. But if you start using it too often, you may find yourself spending more on ink cartridges and the expenses expanding since you always need a constant supply of coloured ink for continuous printing. Laser printers will save a lot more since they can printer more pages per supply toner.Better Image Quality
Printers that use the traditional ink cartridge usually have worse quality than the standard laser printers. High end laser printers make a very noticeable difference in terms of colour accuracy and overall quality.Faster Printing Speeds
When hundreds of pages need to be printed, the printer needs to work constantly to get each page printed swiftly. Regular printers have to go through a lot of work getting that done which can wear down the model. Whilst, laser printers can do this with ease and the users only need to wait a fraction of the time.Less Prone to Errors
Some laser printers can be faulty, but better models can outperform the traditional models in terms of stability. No more getting a headache with those annoying paper jams that can sometimes be difficult to fix. Leaks and spillages are also less likely since a laser is being used for printing, which can significantly lower maintenance costs as well.Easier to Use and Setup
Placing the paper properly in a regular printer can be a time-consuming step because of the chances of paper jam. Since laser printers have a more box-like design, papers are usually fed into the printer while lying flat giving a sure chance that the page will print properly. Since there are more electronics involved in laser printers, some models have LCD screens to aid in operation making it easier for people to use.
These are just some of the common advantages that are found in most coloured printers. There are even more advantages to some of the top selling models in the market which should be worth getting, especially for people that use their printer every day.

The Necessity of Barcode Printers in Modern Times

By sizes paper, 15 January, 2010, No Comment

A barcode is a machine-readable representation of information in a visual format on a surface. Barcode is widely used to implement Auto ID Data Capture (AIDC) systems that improve the speed and accuracy of computer data entry.

A barcode printer is a computer peripheral for printing barcode labels or tags that can be attached to physical objects. Barcode printers are commonly used to label cartons before shipment, or to label retail items with Universal Product Codes.

Desktop barcode printer has become a commonplace tool for entering product information at retail chains and shopping complexes. Industrial barcode printers are used in manufacturing facilities and large warehouses helping in inventory management and sales process automation.

The most common barcode standards are UPCs and EANs.

Universal Product Code Bar Code – The standard bar code printed on retail merchandise. It contains the vendor’s identification number and the product number which is read by passing the bar code over a scanner.

European Article Numbering is the European standard for barcodes. There are two different versions of EAN bar codes, EAN-13 and EAN-8, which encode 13- and 8-digit numbers, respectively. A special EAN-13 bar code with a 5-digit supplemental code is used on books to encode the International Standard Book Number (ISBN) and the price. This bar code is called “Bookland”.

Traditional one-dimensional bar codes use the bar’s width to encode a product or an account number. Two-dimensional bar codes, such as PDF417, MaxiCode and DataMatrix, are scanned horizontally and vertically and hold considerably more data. PDF417 is widely used for general purposes. MaxiCode is used for high-speed sorting, and DataMatrix is used for marking small parts.

Barcode Printers employ two major printing methods – Direct Thermal (DT) and Thermal Transfer (TT).

Direct thermal printers use a print head to generate heat that causes a chemical reaction in specially designed paper that turns the paper black. Direct thermal printers are generally less expensive, but they produce labels that can become illegible if exposed to heat, direct sunlight, or chemical vapors. Barcode printers require regular cleaning of the ribbon and the print head. Specks of dust may cause distortion of the bar codes. The outputs of these printers using ANSI software need to be continuously checked in order to check for system malfunctions.

Thermal transfer printers also use heat, but instead of acting directly on the paper, the heat melts a waxy or resin substance on a ribbon that runs over the label or tag material. The heat transfers ink from the ribbon to the paper. Thermal Transfer requires the use of a heated ribbon to produce long-lasting images of data onto a label and/or tag, whereas Direct Thermal process prints the image directly on the label/tag.

Direct thermal and thermal transfer barcode printers can print bar code labels on variety of media. The range of bar code printers vary from light duty printers to rugged and high speed industrial printers for meeting diverse requirements. In industrial printers, the range varies from medium to heavy duty to extra heavy duty printers. These printers can be integrated to existing applications / ERP for on demand label/tag printing.

Industrial barcode printers are used in large warehouses and manufacturing facilities. They have large paper capacities, operate faster and have a longer service life. For retail and office environments, desktop barcode printers are most common.

Laser Printers – the Reasons Why They are a Better Investment

By sizes paper, 10 January, 2010, No Comment

When considering the most practical printer in use for today’s business office; the Laser jet printer seems the most prudent choice. In general, when compared to its rival the ink jet printer, the advantage of the laser jet is not only because of its quality and efficiency, but in the long run, it’s the best value printer on the market.

Ink jet printers actually use a spray nozzle to project hot, boiling ink onto the paper; which can sometimes lead to compromised print quality-the ink may seep, or “absorb” through the paper, or the appearance may look smudged. Another concern with ink jets is the fact that you have to purchase new ink cartridges, and replace the printer heads more frequently as a way to maintain the printers’ wear and tear, which can get pretty costly over time.

The actual printing process for a laser printer involves not ink, but toner powder. After the laser beams an image onto the paper, the toner is actually “attracted” to the laser beam. The toner powder is subsequently melted onto the paper, which creates the image. A laser printer can actually produce images with much more precision, and with little waste, which obviously saves money and allows for extended periods of use on toner. The toner for laser jets is inexpensive, and for larger businesses with mass quantities of printing to be done; it’s economically the better choice.

Not only is the image quality great, you have to consider that many companies now use industrial sized Laser jet machines as their primary printers; since a whole network of office computers can all print from the same laser printer.

Many businesses prefer to use them mainly because of their ability to outlast the ink jet in terms of durability; they also print large amounts of paper at a rather efficient rate. Ink jets print at much slower speeds and can’t produce the same amount of paper volume as a laser jet.

Laser printers are pretty durable and are easy to maintain; while it’s impossible to repair ink jet printers once they break.

The bottom line: if you are looking for maximum printing efficiency, excellent image quality and an economically sound and stable printer; your best choice is a laser jet. A laser is a little more expensive than an ink jet; but overtime, an ink jet will eventually cost more by paying for those frequent cartridge refills and printer head replacements. For serious businesses, a laser printer is definitely worth the few extra dollars, as the advantages of a laser printer far outweigh the value of an ink jet.

Buying Tips

PAPER SHREDDERS AND OIL:

Paper shredders need oil. Paper dust makes the cutting part sultry that creates problem in working. Oil softens the edges and makes it easy to move. The more the shredders cut the more oil it needs. Usually manufacturers recommend using Automatic Lubricant Device.

SHREDDERS vs. COPIERS AND COMPUTERS:

Shredders are very dangerous for copiers! Copiers use such copying machines and laser prints that get easily upset but power surges and the jamming of paper shredders. The commonly use such electrostatic technique as toner that tents to attract dust from air. And paper shredders create a lot of dust. When purchasing a 1.25hp or higher shredder, it is recommended that you get 20 amp service for power to shredder. This will prevent power surges from scrambling your copiers and nearby computers.

SHREDDERS, CHILDREN AND PETS:

If you have a shredder at your home, keep it unplugged and out of reach of children. Many cases are heard related to children and pets being victim to this device. Shredders should be used safely at home places.

This is true that many shredders gets dull when shedding paper with paperclips and staples. A single staple pin or paperclip can make perceptible damage to the device, which may not appear clearly in early stages. A single harm may damage the further cutting of the document fed. To avoid this damage one can use a shredder with larger opening if to shed document and pile with paperclips.

SHEETS PER PASS:

Shredders manufacturers provisions in numbering of the pages that can be shed at a time are taken as grain of salt. The proven method of observing this count, the number of papers shed in feet/min is divided by the horsepower. It ends up with a factor, which makes one decide which shredder to acquire. The lower the factor the more the sheets per pass. Thus lower the factor more the machine is powerful.

CLEANING:

The photo-eye usually gets unclean due to dust and oil and creates mess. To eradicate this problem unplug the shredder and use a soft rag to clean the photo-eye. If this persist a shredder than needs probably a new photo-eye assembly or circuit board. However you should take safety precautions.

Comprehensive advices ending the section hopefully offer supplementary thoughts.

For budding and professional photographers alike, the switch to digital photography has been an exciting one. A plethora of high-tech cameras have been released and photographers can snap as many photos as they like without worrying about film or developing fees. And now those photographers can have the best of both worlds, when deciding to print those photos at home. Since many digital cameras produce images in high-resolution quality, these pictures can be printed in a number of sizes that all look great. However, it can be easy to waste paper and ink if you’re not printing your photos correctly. Be sure to learn as much about your photo resolution, paper quality and ink levels before you decide to print one of those well-taken shots. There are some tips that have helped professional photographers carry over their digital photos from computer to paper without losing out on quality. For one, be sure to upload your photos at the correct resolution, so big and small photos alike will look just as good. It will also save you money, as cartridges can be expensive. Also, if you take your time in choosing what you print then you are sure to reap the rewards. Keep in Touch With Personalized Stationery

By sizes paper, 10 January, 2010, No Comment

In today’s technological world, one thing seems to have been left behind: the art of writing a letter to friends and family. You may be in the habit of sending email to your friends and family last week to keep them updated and to just say hello. While keeping in touch with friends and family via email is a great way to send information fast, it discounts the personalization of sending a note that you have handwritten to someone you care about.

Typing out a blanket email and sending it to everyone on your contact list is not very personal. On the other hand, handwriting a letter to someone shows that you care. Imagine how you felt the last time you received a handwritten note from a friend in the mail. The thought which is conveyed by sending a handwritten letter out is that the person who sent the letter really cared about the recipient enough to spend the time to handwrite them a letter. Now, you too can show your friends and family how much you care, while adding an extra spark of interest, with hand written letters on personalized stationery.

Personalized stationery is an extra special added touch to an already special show of your care. Using personalized stationery has many benefits:

1) People will know who the letter is from – Your personalized stationery can include writing paper, envelopes, address labels, cards, note pads, labels, stickers, tags and much more. You can include all the information you would like on your personalized stationery, including your mailing address, phone number and, if you’d like, your email address. Of course, you will want to make sure that your name or initials are on the personalized stationery. This will alert your friends and family immediately who the letter is from.

2) Your information is at their fingertips – The more information you include on your personalized stationery, the more your friends and family have at their fingertips. You can actually increase the amount of mail you get in return by adding your address to your personalized stationery. For example, if you add your return mailing address to your stationery, your friends and family don’t have to search for your address if they wish to write back to you.

3) Your friends and family will know that you care and are thinking about them – Nothing shows how much you love and care for someone as a handwritten letter on personalized stationery. Your friends and family will feel wonderful receiving a hand written letter from you, updating them on your life, just to say hello, get well soon, happy birthday or happy holidays.

4) You will never have to hunt for stationery again, or worry about its quality. With personalized stationery, you are getting enough of your own stationery to use. No one will want to use your personalized stationery for their own letters – so you won’t have to worry about other people in your office or home stealing your stationery to write letters. You’ll always have stock on hand, knowing that you can write a letter to someone when ever you want to. You’ll also know that you’re getting a high quality stationery to use; no more foolscap lined paper borrowed from your child’s school binder.

5) You will always be ready for any occasion – Forgot about your friend’s birthday in a couple of days? Misplaced the card you purchased last week for mother’s day? Someone surprise you with a gift? Find out a co-worker or friend is ill? With your own personalized stationery, including note cards and thank you cards, you don’t have to worry about missing many occasions. You will have cards and personalized stationery on hand to quickly write out a quick note to say thanks, happy birthday, I’m thinking of you, get well soon, or whatever the occasion.

Imagine, always being on top of occasions and having something ready for anything that your friends, co-workers and families throw your way. Never again will you be the one who forgot someone’s important day, and if you do happen to forget, you have something that you can quickly whip up to help improve someone’s feelings and your reputation.

It’s always nice to receive something in the mail from someone, but your personalized stationery can go a lot further than that. You can leave notes on someone’s desk just to brighten their day, tack a note on the wall as a personal reference to yourself, or even create a grocery list. There are many different types of personalized stationery that you can choose from and having a variety is really the spice of life.

Add an extra touch to your letters with personalized stickers, or add that extra-special feature to a gift with a tag. Personalized stationery will get you through many occasions, no matter what the event.
